Dear user, As you may know, since 25 May 2018 the new EU General Data Protection Regulation (hereinafter GDPR) has become applicable.

The GDPR imposes an obligation of transparency, which is to provide data subjects with detailed information on the processing of their personal data.
By subscribing to the ATHENA newsletter, registering to meetings or events and registering as an user of the platform, you will send us your e-mail (which is compulsory) and other information which is not compulsory, and we wish to inform you beforehand how it will be used.

Therefore, in compliance with the GDPR, we inform you that Consulta Europa Projects and Innovation, as coordinator of the 
ATHENA Project and Fundo Regional da Ciência e Tecnologia (FRCT), responsible for the Dissemination and Communication , will process your data lawfully and fairly, only where necessary, using paper and electronic means, adopting adequate technical and organisational security measures, only for the purpose of sending you the newsletter as well as specific announcements of project activities (invitation to events, workshops, etc.) and to provide the services included within the e-platform and statistics on the overall number of users registered, the type of organizations reached and the countries of belonging of the organizations.

Your data will be processed by duly authorised Consulta Europa Projects and Innovation employees and collaborators and Fundo Regional da Ciência e Tecnologia (FRCT), responsible for the Dissemination and Communication, as well as by ATHENA partners and some external suppliers (e.g. providers of hosting services), and will not be used for sending commercial communications or for profiling purposes.

You may exercise your rights at any time in accordance with the GDPR, such as requesting access to data, correcting them if there are errors, deleting them (e.g. if they are no longer necessary), processing limitation and portability, as well as filing a complaint with the Supervisory Authority.

Before freely expressing your consent in a conscious manner, we invite you to read carefully the full information notice below. Should you have any doubt, do not hesitate to contact us; we will provide you with all the necessary clarifications.

  1. What data will be collected?

Upon accessing the ATHENA platform, specific information may be stored on the project server.

We only process personal data that you have explicitly provided to us during your visit to our platform, by registering as a user and by subscribing to our newsletters. By the processing of personal data we mean the collection, storage and use of personal data for the purpose of keeping you informed in case you have subscribed to the ATHENA newsletter and for the purpose of getting access to the services of the e-platform, i.e. women researchers’ database, forum and trainings, in case you have registered as user of the e-platform. If you wish to withdraw this consent, it is always possible by unsubscribing from the newsletter or by sending an email to the DPO. The consortium ensures that your personal data will never be used for purposes other than the above-mentioned.

Regarding the subscription to our newsletter, the following data are collected:

  • Affiliation (Organization you represent or belong to) – (not compulsory)

Concerning the registration procedure as a user of the platform, the following data is collected:

  1. What is the legal basis for the processing?

This processing activity, based on Article 5(1) (a) of the Regulation, is necessary for the performance of a task carried out in the public interest or the exercise of official authority vested in ATHENA by the following legal acts: • European Commission granting of the CSA project: Implementing gender equality plans to unlock research potential of RPOs and RFOs in Europe, with the acronym ATHENA, selected under the H2020-SwafS-2020-1call, Grant Agreement No. 101006416, running from February 1st 2021 until January 31st 2025.

  1. Who will have access to my data? Recipients or categories of recipients of your personal data

The data and information collected through the online contact form are accessible to Consulta Europa Projects, Coordinator of the ATHENA project, and Innovation and Fundo Regional da Ciência e Tecnologia (FRCT), responsible for the Dissemination and Communication. The data provided will only be transferred to third parties for strictly necessary purposes, as described in section 7. If you do not agree with the transfer of your personal data, even under the conditions described in section 7, please inform the DPO.

  1. How long do we keep your personal data?

The Controller only keeps the data for as long as follow-up actions linked to the above-mentioned purpose are necessary.

  1. What are my rights? Rights of the data subject

A data subject is the natural person for whom personal data is processed. Each person has the right to be informed on what personal data is being processed and to have access to his or her personal data. As the data subject, you have the right to:

  • Request a copy of your personal details at any time to check the accuracy of the information held;
  • And/or to correct or update this information;
  • You may also ask your personal information to be deleted completely (your right to be forgotten). Simply send us an e-mail at info@consulta-europa.com with your request, and we will act and reply you as soon as possible.

Note that the GDPR stipulates that each request made must be logged. You have the right to object at any time to processing of your personal data. If you would like to apply your right to object, please contact us at info@consulta-europa.com.

  1. Disclosures of personal information

We take care to allow access to personal information only to those who require such access, and to third parties who have a legitimate purpose for accessing it. Whenever we allow a third party to access personal information, we will implement appropriate measures to ensure that the information is used in a manner consistent with this policy and that the security and confidentiality of the information is maintained.

Transfers to our members

We may share your personal information with the ATHENA consortium to support us in a specific task or initiative.

Transfers to third party service providers

In accordance with applicable law, we may make certain personal information available to third parties who provide services to us, including data warehousing, shared service platform providers, IT developers and support providers and hosting service providers in connection with our online services. In addition, personal data may also be accessed by third parties who provide support and advice, for example, in connection with legal, financial/audit, management consulting, insurance, health and safety, and reporting matters.

As for the information provided for the women researchers’ database, this will be exposed to all visitors of the ATHENA e-platform. Once the data are shared, they will be uploaded to the platform. You have the right to object at any time the processing of your personal data and privacy.

We will update our Privacy Statement whenever necessary. Unless, and until, you may object in writing by contacting us at info@consulta-europa.com, all changes will apply to the existing information about you that the ATHENA project already holds, and the personal information collected from the effective date of the revised Privacy Statement. The use of our portal following the effective date of any revision will constitute your acceptance of the terms of the updated Privacy Statement.
